AI Automation Services in UK

Stop doing manually what a system can do for you. We find the repetitive work quietly eating hours in your business, then build the automation that fixes it.

Unlike a generic AI agency, we do not work from a playbook. We are a UK managed IT provider that already runs its own operations this way — AI-assisted ticket handling, automated billing and workflow automation are part of how we work day to day. Same approach for your business, same security standards behind it: ISO 27001 and ISO 9001 certified.

What changes

The same work, without anyone touching it

Most automation is not exotic. It is a job somebody does by hand every week, done by a system instead — reliably, on time, and without the errors that only surface at month end.

The difference is not that the work disappears. It is that a person stops being the thing that moves it along. They step in when something does not match, and leave the rest alone.

Business process automation

AI Automation Services

The same handful of jobs show up in different shapes across every company we work with. These are some of the areas where we find the quickest wins.

h

Document and invoice processing

Pulling data out of invoices, purchase orders, forms and PDFs, then putting it where it needs to go — without someone retyping it.

Data entry and system integration

Connecting the cloud systems you already pay for so they talk to each other, instead of a person bridging them by hand.

Reporting and dashboards

Sales figures, job status, stock levels and finance summaries compiled automatically and delivered on a schedule.

Customer communication and follow-up

Reminders, chasers, check-ins and status updates that go out on time because a system sends them, not a person remembering to.

Approvals and handovers

Work that moves between people or departments without stalling in an inbox because somebody was on annual leave.

AI-assisted support and internal knowledge

Answering the questions your team asks over and over, from the documents and systems you already have — the same approach we use on our own IT service desk.

Not everything is a quick win. We also build the bigger pieces — client onboarding handled end to end, quotes and proposals generated from your own data, contracts and documents read and routed to the right person, orders orchestrated across several systems at once. Those take longer and cost more, which is exactly why we find you a quick win first.

We build on the tools you already run wherever we can. If a well-supported product already does the job, we would rather configure that than build something new for the sake of it.

Tackling your biggest time drains

You do not need to know what automation looks like to know when something is broken. You just know it is slow, or someone always forgets a step, or it only works because one person happens to hold it all in their head.

Manual data entry between systems

Someone spends part of every day copying information from one system into another — an order into an invoice, a form into a spreadsheet, an email into a booking system.

You find out about mistakes from the customer

A step got missed, an order was incomplete, a follow-up never happened — and the first sign of it is someone unhappy on the phone.

A process that lives in one person's head

One person is the only one who really knows how something works. When they are on holiday or leave, things slip, or everyone else guesses.

Reports built by hand before every meeting

Someone spends an hour the night before compiling numbers that already exist somewhere — they just do not talk to each other.

Follow-ups that happen "when someone gets round to it"

A re-booking reminder, a chase for missing paperwork, a check-in after a purchase — none of it automatic, all of it dependent on someone remembering.

Software that did not fit how you actually work

You have tried to fix this before, and the tool either did not match your process or needed more technical setup than anyone had time for.

Onboarding that takes weeks because nothing is written down

New starters take a long time to get up to speed because the process lives in someone’s head, or across three different systems.

If two or three of these sound like a normal Tuesday, there is a good chance there is an automation opportunity sitting right there. You just have not had a reason to stop and look at it properly.

STAGE 1

Quick Win Discovery

A focused session to find two or three automations worth building, fast.

We sit down with the right person in your business for a single 60 to 90 minute session. There is no need to involve your whole team at this stage. We ask the questions that uncover how the work really flows, where it breaks down, and what those manual steps are costing you — usually in places nobody has thought to look.

Full Business Automation Roadmap

Once the model is proven, we look wider.

For businesses ready to go further, we run short, focused conversations of 30 to 45 minutes each with a handful of key people across your business — finance, operations, marketing, wherever it is relevant. We keep it tightly scoped and time-boxed so it stays a fast process rather than a long-running audit.

Why choose Astec for AI automation?

We use what we build.

Our own operations already run on AI-assisted automation. We are not selling you something we have not tested on ourselves first.

We are an IT provider, not an automation shop.

Most AI automation agencies have never had to support what they build. We do it every day. That changes what we build and how we build it — because we are the ones who get the call when it stops working.

Security and compliance are not an afterthought.

Automation means giving a system access to your data. We are ISO 27001:2013 certified for information security and ISO 9001:2015 for quality management, we build with UK GDPR obligations in mind, and we can help you evidence it for Cyber Essentials or a client security questionnaire. We already publish on where AI creates new risk, from AI-generated phishing to shadow AI.

Fixed fee, no surprises.

You know exactly what Stage 1 costs before you commit to anything further.

Proof before scale.

We would rather show you one working automation than sell you a strategy document.

Clients do not leave.

100% client retention across our client base, and client stories we are happy to put in front of you. Dedicated primary and secondary engineers who know your environment — not a call-centre queue and a ticket number.

If we already look after your IT

You have a head start. We already know your IT infrastructure, your users and how your business runs, which means Stage 1 is faster and the opportunities we find are more concrete from day one.

If we do not look after your IT yet

You do not need to be a managed IT client to work with us on automation. Quick Win Discovery is a standalone, fixed-fee engagement with no obligation to move your IT support. Plenty of clients start here and never move their IT.

Where to start

What is AI automation for business?

AI automation means using software — increasingly with AI built in — to carry out tasks a person currently does by hand. In practice that usually means moving data between systems, reading and sorting documents, generating reports, and triggering follow-ups at the right moment. The goal is not clever technology. It is removing repetitive work that does not need a human on it.

How much does AI automation cost for a UK business?

It depends entirely on what you are automating. A single workflow connecting two systems sits at the low end. Something touching several departments costs more. That is exactly why we start with a fixed-fee Quick Win Discovery: you get an indicative build cost and an indicative running cost for each opportunity before you commit to building anything. If you are budgeting more broadly, our guide to IT maintenance costs and ROI for UK SMEs covers how we think about this.

What kinds of business processes can be automated?

The most common are invoice and document processing, data entry between systems, report generation, customer follow-up and reminders, approval workflows, and answering repeated internal questions. If a task follows the same steps most of the time and someone does it regularly, it is usually a candidate.

Is my business too small for AI automation?
Smaller businesses often see the fastest return, because one person’s repetitive work is a much larger share of total capacity. We work with businesses from around 10 staff upwards. The size that matters is not headcount — it is how much repeated manual work is happening.
What does automation mean for my team?
Automation gives you back capacity. What you do with it is a decision for you, not for us.

What we can tell you is what it actually does day to day: the repetitive, low-value work stops needing a person on it, so the same team gets more done in the same hours. Most of the businesses we work with use that to take on more volume without hiring, to answer customers faster, or to finally get to the projects that keep slipping down the list.

Some find it changes what certain roles look like, and that is a fair thing to plan for. Our job is to save you time and money and to free your people from work that does not need them. How you use what that frees up is yours to decide.

Do I have to replace my existing software?

Usually not. Most of what we build connects systems you already run rather than replacing them. If a platform genuinely is holding you back we will say so and explain why — and if the answer is moving it, that is a cloud migration conversation, not an automation one.

Is my data safe if we automate?

It is the right question to ask, and it is the one most automation suppliers gloss over. Automation means giving a system access to your data, so who builds it matters. We are ISO 27001:2013 certified for information security and ISO 9001:2015 for quality management, we design automations with UK GDPR in mind, and access controls are handled with the same network security discipline we apply everywhere else. Ask any supplier for their certifications before granting system access.

What happens if an automation breaks?

It gets treated like any other system we support: monitored, alerted on, and fixed by named engineers who know your environment. Every automation we build has a defined fallback to the manual process, planned with the same discipline we apply to business continuity. Nothing we build should be able to stop your business if it stops working.

How long does it take to get started?
Typically about two weeks from first conversation to a written report in your hands. The discovery session itself takes 60 to 90 minutes of one person’s time.
What is the difference between AI automation and traditional automation?
Traditional automation follows fixed rules: if this happens, do that. It works well for predictable steps. AI automation adds the ability to handle input that is not uniform — reading an invoice laid out differently to the last one, sorting an email by what it is actually about, summarising a long document. Most useful builds combine both.
Do we have to commit to an ongoing contract?
No. Quick Win Discovery is a fixed fee with no ongoing commitment. If you want us to build what we find, that is a separate decision, and so is anything beyond it.
