Zoho CRM & Zoho Desk – A Unified Platform for Sales, Service and Growth
Background & Challenge
A fast-moving maintenance firm was feeling the strain of disconnected systems. Client information was spread across spreadsheets, email chains, and ad hoc tools. Support requests were being handled via Outlook inboxes, with no formal ticketing system in place. This lack of structure led to frequent oversights—including missed contractual jobs, which directly impacted revenue and customer satisfaction.
The business needed a system that could bring sales and service together—offering structure, clarity, and better client experiences.
Initial Assessment
Astec began by understanding the business’s current operations and challenges:
- Discovery & Stakeholder Workshops: We ran sessions with leadership and frontline staff to map out the client lifecycle—from first contact to ongoing support.
- Process Review: Current tools and manual processes were reviewed to identify gaps, inefficiencies, and duplication.
- Requirements Mapping: We outlined clear priorities—centralised data, faster ticket handling, better reporting, and easier collaboration between teams.
Design & Configuration
Using the findings, Astec designed a solution combining Zoho CRM for client management and Zoho Desk for ticketing:
- Custom Configuration: Modules and fields were tailored to fit how the business sells, onboards, and supports its customers.
- Multi-Department Setup: Zoho Desk was structured to reflect the organisation’s internal teams, with separate departments and views configured for each service line—ensuring tickets reached the right people.
- Automation Rules: Workflows were created to route tickets, assign leads, and trigger alerts—keeping teams responsive without micromanagement.
- Dashboard Setup: Custom dashboards were built for both sales and support teams—providing real-time visibility across pipelines, SLAs, and client interactions.
- Integrations: The system was connected with key tools including email, calendars, and file storage to streamline day-to-day work.
- Secure Data Migration: Historical client and support data was reviewed, cleansed, and migrated to ensure a clean and accurate start.
Pilot Testing
Before going live:
- A pilot group tested both systems with real-world scenarios to ensure usability and relevance.
- Feedback was gathered to fine-tune workflows, field names, and email templates.
- Any blockers were addressed before company-wide rollout.
Internal Communications & Onboarding Resources
To support a smooth transition:
- Quick-start guides were created for sales and support users.
- Training sessions were delivered remotely and on-site, tailored to each team’s daily role.
Deployment & User Support
The rollout was delivered in a staged and supported manner:
- Live Rollout: Sales and support teams were onboarded in waves, with hands-on assistance during launch.
- Support Availability: Astec provided direct access to our team throughout go-live for any technical questions, adjustments, or user support.\
- Configuration Refinements: Minor tweaks were made post-launch based on early feedback and usage patterns.
Validation & Quality Checks
Post-implementation checks ensured everything was running as expected:
- Workflows triggered correctly and reached the right teams.
- Ticket SLAs and CRM lead stages were accurately tracked.
- Mailflow Testing: Incoming emails to each support address were tested to confirm correct routing to departments and filtered views in Zoho Desk.
- Reporting and dashboards were tested for accuracy and clarity.
Outcome
- End-to-End Visibility: Sales and support data now lives in one system—reducing missed updates and duplicated work.
- Stronger Client Engagement: Communication is timely, tracked, and consistent.
- Improved Productivity: Automation and dashboards help teams focus on value—not admin.
- Smarter Decisions: Managers now have access to real-time insights across both departments.
- Prevented Revenue Loss: Zoho Desk’s structured ticketing ensures no important call-outs or contract jobs are missed—protecting both revenue and customer satisfaction.
- Tailored for Growth: The solution was designed to evolve with the business, with room to scale.
